PURCHASING/ WAREHOUSE CLERK  -  3/21/17

Reports to: Accounting Manager

Classification: Hourly, Full-time, Non-exempt

JOB DESCRIPTION

Coordinates activities involved with procuring goods and services such as raw material, equipment, tools, parts, and supplies for organization by performing the following duties.

ESSENTIAL DUTIES

  1. Creates purchase orders from requisitions.
  2. Confers with vendors to obtain product or service information such as price, availability, and delivery schedule.
  3. Work with project manager(s) to ensure required material is available when needed while minimizing inventory cost.
  4. Data entry and filing paperwork.
  5. Obtains price quotes from multiple suppliers.
  6. Runs reports to help determine needs.
  7. Prepares purchase orders or bid requests.
  8. Issues purchase orders to suppliers and confirm delivery date, quantity ordered and price are correct.
  9. Maintains procurement records such as items or services purchased, costs, delivery, product quality or performance, and inventories.
  10. Checks shipments to ensure that orders have been filled correctly and that the goods meet specifications
  11. Discusses defective or unacceptable goods or services with personnel, users, vendors, and others to determine source of trouble and take corrective action.
  12. Processes receipts.
  13. Expedites delivery of goods to users.
  14. Upon direction, performs and reconciles physical counts of inventory.
  15. Responsible for warehouse inventory.

JOB REQUIREMENTS

  1. High school diploma or equivalent.
  2. Two (2) years of experience in Purchasing.
  3. MS Office experience.

PREFERRED EXPERIENCE

  1. Experience with QuickBooks or Peachtree systems.
  2. Strong interpersonal and organizational skills.
  3. Understand spreadsheets, charts and technical manuals; Good phone skills required.
  4. Basic math skills (addition, subtraction, division, multiplication); Ability to convert units of measure.
  5. Discretion
  6. Decision Making.

Supervisory Responsibility

This position has no supervisory responsibilities.

Work Environment

While performing the duties of this job, the employee is expected to work in an office environment as well as warehouse.

Physical requirements

Most work can be accomplished from a standard computer workstation.    Ability to operate a keyboard and other input devices is required.  Ability to view displays and computer output is required. Maintaining inventory in the warehouse as well as opening and lifting boxes of up to 25 to 50 pounds.  Occasionally operating material handling equipment.

Reports to: Company President

Classification: Hourly, Full Time, Non-exempt

JOB DESCRIPTION

Relieves the executive of administrative functions to increase the time an executive has available for executive level responsibilities. May handle a wide variety of situations and conflicts involving the clerical and administrative function of the office. Responsible for confidential and time sensitive material. Working knowledge and experience in HR. Prepares routine and advanced correspondence including letters, memoranda, and reports. Relies on experience and judgment to plan and accomplish goals. May direct and lead the work of others. Typically reports to an executive. A wide degree of creativity and latitude is expected.

ESSENTIAL DUTIES

1. Maintain calendar of President, manage appointments, schedule meetings.

2. Maintain project and priority list.

3. Meeting notes for weekly meetings and gather required report data.

4. Track expenses, expense reports.

5. Making travel and guest arrangements as needed.

6. Compliance:

  • Maintain schedule of required reports and filings
  • Assist in filing scheduled reports as needed
  • Audit FCC license filing
  • USAC filings

7. Handle a broad variety of HR duties:

  • Track direct reports vacation, sick and vacation requests
  • Track employee anniversary dates
  • Schedule employee reviews (both direct reports and that employee reviews are completed)
  • Assist employees with routine HR needs
  • Assist with payroll processing
  • Application review
  • Pre-hire background checks, drug screening.
  • Orients new employees.
  • Gathering withholding and other payroll information.
  • Benefits Administration; explaining and obtaining signatures for benefits.
  • Documents human resources actions by completing forms, reports, logs, and records.  Maintains personnel records.
  • COBRA Administration
  • Answer overflow calls from call center.

JOB REQUIREMENTS

  1. Associates degree or higher. OR College graduate/4-yr degree.
  2. Two (2) years of experience as Administrative Assistant, HR experience a plus.
  3. MS Office experience.

PREFERRED EXPERIENCE

  1. Knowledge of administrative and clerical procedures.
  2. Strong interpersonal and organizational skills.
  3. Ability to follow directions and know when to ask questions.
  4. Able to communicate orally and in writing with others to explain complex issues, receive and interpret complex information and respond appropriately.
  5. Ability to handle sensitive information in strict confidence and demonstrate professional discretion always in handling confidential and sensitive information.
  6. Basic math skills (addition, subtraction, division, multiplication); Ability to convert units of measure.
